CREGG are seeking an organised, detail-oriented and proactive Finance & Project Administrator to join our client on a remote basis, supporting its Irish and UK operations. This is a hands-on administrative role working closely with the CFO, Contracts Managers, site teams and external accountants. The successful candidate will provide day-to-day finance and project administration support, ensuring timesheets, invoices, project costs, payment records and financial information are accurate and maintained in line with established company procedures.

Key Responsibilities:

  • Review employee and subcontractor timesheets through Connecteam, checking project allocations, clocking discrepancies, breaks, duplicate entries and overall accuracy.
  • Resolve timesheet queries with site teams and obtain the necessary approvals ahead of payroll deadlines.
  • Prepare and review labour-cost exports for LiveCosts, ensuring consistent project names and codes across systems.
  • Match invoices against supporting orders, delivery records and approvals, querying any discrepancies or duplicate entries.
  • Assist with reconciling project costs to accounts and flag missing invoices, incorrect codes and unexplained differences.
  • Prepare and issue customer invoices and credit notes using approved commercial information.
  • Liaise with Quantity Surveyors and Contracts Managers regarding valuations, variations, supporting documentation and billing queries.
  • Maintain debtor records, reconcile customer accounts and receipts, and monitor outstanding balances.
  • Prepare supplier, subcontractor and payroll payment schedules, ensuring supporting records are available for approval.
  • Maintain subcontractor payment records and provide supporting information for Irish RCT and UK CIS administration, payroll and other returns under the direction of the CFO and external accountants.
  • Support the CFO with general finance and project administration as required.

Qualifications and Skills:

  • 2+ year’s experience in a finance, accounts or financial administration role.
  • Practical experience processing invoices, handling payments and completing account reconciliations.
  • Strong Excel skills and numerical accuracy.
  • Excellent attention to detail and commitment to maintaining accurate financial records.
  • Ability to organise workloads independently, meet deadlines and manage competing priorities.
  • Ability to handle confidential financial, payroll and employee information with discretion.
