Overview
Our client is seeking an experienced Executive Assistant to provide high-level support to the CEO and wider senior management team.
This is a varied and responsible role combining traditional executive support with elements of finance administration, document control, commercial support and general business administration.
The successful candidate will be highly organised, proactive and comfortable working in a fast-paced environment where priorities can change quickly.
Responsibilities
- Provide day-to-day executive support to the CEO.
- Manage diaries, appointments and changing priorities.
- Coordinate internal and external meetings.
- Prepare agendas, presentations, correspondence and meeting documentation.
- Take accurate meeting minutes and follow up on agreed actions.
- Arrange business travel, accommodation and detailed itineraries.
- Manage and prioritise communications and correspondence.
- Liaise professionally with senior management, clients and external stakeholders.
- Assist with invoice, project cost and general financial administration.
- Support the maintenance of commercial and project documentation.
- Maintain organised electronic filing and document-control systems.
- Assist with property-related administration, including leases, insurance and maintenance records.
- Provide support on ad-hoc business projects and initiatives.
- Handle confidential and commercially sensitive information with discretion.
Requirements
- Previous experience as an Executive Assistant, Personal Assistant, Senior Administrator or similar.
- Experience supporting a CEO, Managing Director, Director or senior management team is highly desirable.
- Excellent organisational and time-management skills.
- Strong diary, meeting and travel-management experience.
- Excellent written and verbal communication skills.
- Strong attention to detail.
- Ability to manage multiple priorities and work independently.
- High level of discretion and confidentiality.
- Strong Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
- Comfortable working with basic financial and commercial information.
- Strong document-management and filing skills.
- Proactive approach with the ability to take ownership of tasks through to completion.
