CREGG are seeking an organised and proactive Grade IV Clerical Administrator to join our client, based in Dublin 18. This is a full-time position working onsite five days per week, on a contract until the end of 2027. The successful candidate will provide comprehensive administrative and coordination support to a large-scale national finance transformation programme, supporting programme managers, workstream leads, project teams, and wider stakeholders.
Key Responsibilities:
- Provide comprehensive administrative support to the Programme Management Office, Programme Managers, Workstream Leads, and Project Teams.
- Prepare, format, quality assure, and distribute programme documentation including reports, presentations, briefing papers, governance papers, meeting packs, and correspondence.
- Maintain programme repositories, document libraries, and filing systems, ensuring accurate version control and audit-ready records.
- Maintain programme tools, trackers, registers, action logs, decision logs, and project schedules.
- Coordinate the collection, collation, and validation of information required for programme reporting and governance.
- Monitor deadlines and action items, following up with stakeholders to ensure timely completion.
- Support procurement and financial administration activities, including the processing and tracking of purchase requisitions, purchase orders, and invoices.
- Organise meetings, workshops, programme events, and stakeholder engagements, including scheduling, agendas, venues, and documentation.
- Record and distribute accurate meeting minutes, actions, and decisions.
- Support programme governance through the preparation and coordination of reports and meeting documentation.
- Act as a key point of contact for routine programme-related queries and maintain effective relationships with internal and external stakeholders.
- Contribute to the continuous improvement of PMO processes, systems, reporting, and document management practices.
- Support the implementation of new technologies, systems, and digital tools to improve programme delivery.
Qualifications and Skills:
- Previous experience providing administrative and coordination support within a PMO, project, programme, or large-scale organisational change environment.
- Strong organisational and administrative skills with the ability to manage competing priorities and strict deadlines.
- Proficiency in Microsoft 365 applications, particularly SharePoint, Teams, Excel, and Outlook.
- Strong governance, information management, and document control skills.
- Strong attention to detail, numeracy, and problem-solving skills.
- Ability to work effectively in a changing environment with flexibility, initiative, and adaptability.
- Access to appropriate transport to fulfil the requirements of the role.
- Flexible approach to working hours where required to meet programme deadlines.
