CREGG are seeking an experienced and highly organised Grade V Staff Officer to join our client based in Dublin 18. This is a full-time position, working onsite five days per week, on a contract until the end of 2027. The successful candidate will provide high-quality administrative, governance, systems, reporting, and coordination support within a large-scale national finance transformation programme.
Key Responsibilities:
- Provide comprehensive administrative and coordination support to Programme Management, the PMO, project teams, and wider programme stakeholders.
- Support the coordination of programme activities across multiple workstreams.
- Prepare meeting packs, reports, governance documentation, and programme updates.
- Coordinate inputs into programme reporting and decision-making processes.
- Administer and maintain SharePoint sites and document libraries, ensuring effective document control, version management, and archiving.
- Maintain CRM systems, stakeholder information, engagement records, and communications data.
- Produce reports, trackers, Excel dashboards, pivot tables, and data logs.
- Perform data validation and quality checks to ensure accuracy and completeness.
- Identify opportunities to automate and improve reporting processes and PMO workflows.
- Coordinate meetings, workshops, training sessions, and programme activities.
- Support compliance with company policies, data protection and governance standards, SAP Purchase-to-Pay processes, and financial procedures.
- Act as a central coordination point across programme teams and stakeholders.
- Support cross-functional collaboration across Finance, ICT, project teams, and external stakeholders.
- Deputise for the Grade VI in their absence and provide support with project delivery where required.
Qualifications and Skills:
- Previous experience working in a project, programme, or PMO environment, ideally supporting large-scale transformation initiatives.
- Practical knowledge of project governance, reporting structures, and programme administration.
- Strong proficiency in Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint.
- Experience using digital platforms such as SharePoint, CRM systems, ShareFile, or equivalent document management tools.
- Strong understanding of document control, version management, records management, data quality, and information governance principles.
- Strong organisational skills with the ability to manage multiple workstreams, competing priorities, and strict deadlines.
- Excellent interpersonal skills and the ability to build effective relationships with stakeholders at all levels.
- Proactive approach to continuous improvement and professional development, particularly in digital tools and PMO practices.
- Access to appropriate transport to fulfil the requirements of the role.
